Position Summary:

The Fleet Administrator is responsible for accurately and efficiently processing invoices related to the maintenance and repair of the company’s vehicle fleet. This role ensures timely processing, maintains detailed records, and supports the fleet maintenance team in recording accurate maintenance costs.

The responsibilities of the position include, but are not limited to:

  • Process invoices related to fleet operations, including maintenance, repairs, and vendor services.
  • Verify invoice accuracy, ensuring charges align with service agreements, work performed, and reviewing with individual account supervisors when warranted.
  • Input and update fleet maintenance data into fleet management software, including service records, costs, and schedules.
  • Maintain accurate records of vehicle maintenance, repairs, and associated costs in the software system.
  • Respond to inquiries from vendors or internal teams regarding invoice status or payment issues.

To be qualified for this position, you must possess the following:

  • Prior experience in data entry preferred
  • Ability to learn and navigate basic computer programs
  • Excellent attention to detail and accuracy in handling financial and maintenance data
  • Familiarity with fleet maintenance processes and terminology is a plus but training will be provided
